Software Asset Management Specialist, Strategic Sourcing
About the Role:
As a member of Okta’s Strategic Sourcing & Procurement (SS&P) organization you will be part of Software Asset Management (SAM) team within SS&P organization. The Software Asset Management Specialist is responsible for the effective management of software licenses and assets across the organization. This role involves coordinating with various departments to ensure compliance with software license agreements, optimizing software usage, and reducing costs through strategic asset management practices. The individual will closely partner with the software Sourcing team to assist in forming software category strategies to optimize technology spending across the organization.
Responsibilities:
- Maintain an accurate inventory of software assets deployed across the organization utilizing available software asset management tools and data to track software installations, versions, and usage
- Analyze software usage data to identify opportunities for license optimization and cost reduction
- Monitor software license usage and ensure compliance with license agreements by conducting audits and assessments to verify license entitlements and usage
- Coordinate with cross-functional partners such as sourcing, security, and legal teams to resolve compliance issues and mitigate risks
- Work with Tech Sourcing to help negotiate favorable terms with software vendors to optimize licensing agreements and reduce costs
- Develop and document software asset management processes and procedures
- Implement automation and workflow improvements to streamline software procurement, deployment, and retirement processes
- Provide training and guidance to internal stakeholders on software asset management best practices
- Stay informed about licensing models, pricing structures, and product roadmaps for key software vendors
- Analyze software usage patterns, identify opportunities for optimization, and collaborate with Sourcing peers and stakeholders to implement strategies to optimize license allocation and reduce costs
- Prepare software asset-related reports and documentation, such as license entitlements, deployments, usage, and compliance status. Create and deliver needed reports to management
- Work closely with other departments to ensure successful deployment of processes; providing communication when gaps are identified
- Draft Software Asset Management processes, policies, and procedures to enhance efficiency and effectiveness
Preferred Qualifications:
- 3+ years of experience in software asset management, preferably in a large enterprise or complex organizational environment
- Bachelor’s degree in IT, Business, Finance, and/or commensurate professional experience
- Previous experience with IT sourcing & procurement highly desired; understanding of sourcing & procurement processes and methodologies within a global organization
- Knowledge of Procure-to-Pay processes including experience working with P2P systems such as COUPA
- Experience with platforms like ServiceNow SAM module (preferred)
- Previous experience working in consulting in similar capacity desired
- Strong understanding of software licensing models, terms, and agreements
- Understanding of IT asset management principles, practices, and methodologies, including asset lifecycle management, inventory control, software licensing, and compliance.
- Strong analytical skills with the ability to interpret data and generate insights.
- Excellent communication, presentation, and interpersonal skills, with the ability to effectively communicate technical concepts to non-technical audiences and influence stakeholders at all levels of the organization.
- Relevant certifications (such as ITIL, CITAM) are a plus.
- Strong ability to conduct assigned tasks independently with little supervision
