This role is based in Munich.

We are in search of a highly motivated Team Assistant (m/f/d) for our Engineering organization who will play a crucial role in maximizing our VPs of Engineering time and capacity. The responsibilities include:

1. Ensuring the Engineering leadership team and the Engineering VPs spend their time on the highest priority things. This looks like:

• Calendar management: scheduling meetings, ensuring effective agendas, training people on how to schedule and prepare for effective time together.

• Proactively tracking priorities across Personio and ensuring the Engineering VPs and their leadership teams spend their mental energy on the highest priority topics.

• Owning the Engineering Rhythm of Business for the leadership team and overall Engineering organization.

2. Ensuring culture is strong and focused on quality, outcomes, and action. This looks like:

• Proactively identifying ways to build culture through Engineering team events, leadership events, all hands and such.

• Facilitating internal and external communication within the Engineering team.

3. Providing logistical support for the Engineering VPs

• Coordinating travel, including flights, hotels, and transportation

• Ensuring physical requirements are met, including locating spaces to work, ensuring the right equipment and supplies are present.

• Handling expense reports and reimbursements.

4. Helping to build capacity. This looks like:

• Acting fast to deliver in good time

• Coordinating efforts with the PTech EA Lead and the other department’s EA so we don’t optimize for a single VP, but for the overall business

• 5+ years in a team assistant /executive assistant or other relevant role, in a Tech company, preferably in an Engineering organization.

• Strong verbal and written communication skills in English, with fluency in German being an advantage.

• Full proficiency in using Google Calendar, Google Slides, Google Sheets, Zoom and Slack. Knowledge of creating and publishing content in Confluence is a plus.
