The Team:

As part of the Travel Management Team, you will be reporting to the ​Travel & Expense Operations Manager in Madrid to support the team in our growing operations.

The Role: 

As the Travel & Expense Specialist, you will be the main responsible for auditing expenses and performing related tasks. You will also participate in other activities of the department, acting as key contact for employees and driving the highest customer service to our internal and external stakeholders. You will also collaborate with other finance teams to handle ad hoc queries and requests.

What you’ll do:

Expenses:

  • Process Expense reports submitted by employees ensuring they comply with the Celonis policies.
  • Escalate non-compliant issues as appropriate.
  • Handle incoming requests on travel and expenses.
  • Administration of our Corporate Card program.

Travel:

  • Provide directions to employees for booking travel arrangements including air, hotel, and ground transportation in our booking tool.
  • Track and escalate booking issues and employee complaints, ensuring they are fixed. 
  • Assist the Travel Manager in the Preferred Vendors Program by negotiating with hotels, organizing the signature of the contracts, and following up that the rates are loaded in the online booking platform.
  • Collaborate with the sustainability team on Carbon accounting.

Events Support:

  • Assist the Global Events team and any other teams in organizing travel arrangements for Company Events and any other required tasks such as helping with the budget, developing specific guidelines, creating invites, etc.

Other:

  • Review and update our intranet and SOPs as required.
  • Prepare training material and provide training for employees.
  • Raise technical issues and follow up with the appropriate IT teams / external vendors.
  • Support any ad-hoc requests as well as regular audit and reporting requests.
  • Initiate and deliver proposals for process improvement solutions.

The skills you need:

  • BA and/or MA Degree preferably in Finance, Economics, Tourism, or similar.
  • Professional fluency (written and oral) in English (applications in Spanish will be automatically discarded), other European languages are a plus.
  • Advanced Excel knowledge & skills;  there will be a practical challenge as part of the interview process.
  • Curious, eager to learn and resourceful. 
  • Organized, detailed oriented and analytical.
  • Resilient, assertive and able challenge multiple Stakeholders & Leadership in decision-making.
  • Keen to deliver best in class customer experience to any internal or external stakeholder of Celonis (suppliers, customers, employees).
