The MongoDB People Team is seeking a Workplace Coordinator to support the Workplace initiative in the Palo Alto office. We are looking for someone who enjoys being the go-to person and is a genuine employee experience ambassador.

Job Responsibilities:
  • “Own what you do” by ensuring the office is a Great Place to Work, operated, organized and maintained in a safe, professional, clean, and cost-effective manner
  • Employee Experience: Manage the lobby and reception desk to greet and assist employees, vendors, guests, and visitors as needed. Support the life cycle of employees in the workplace - new hires, desk allocations, parking questions, and access issues. Respond to, track, and action employee requests via our internal ticketing system (ZenDesk)
  • Physical Security: Monitor the security access control system at reception, manage access requests, and create badges
  • Conference Room Facilitator: Review conference room requests and help facilitate space calendar to host internal and external events on site. Assist with special requests, catering suggestions, space planning, and room reset
  • Community Event Management: In partnership with Employee Experience, Recruiting, ERG’s, EA’s and / or Site Leadership, assist in planning and executing office-wide events, in addition to Workplace-sponsored quarterly pop-ups
    • For example: Coffee Bar, Pride Month, Holiday Party, etc.
    • Event concepts, vendor booking, space planning, and event marketing
  • Budget + Supply Management: Ensure the workplace team is operating within budget for office supplies, kitchen supplies, and quarterly entertainment budget. Monitor office and kitchen supplies inventory and order weekly replenishments
  • Operations: Proactively inspect the workplace conditions daily to ensure standards are maintained. Lead the day to day vendor management for cleaning services , food operations , repair and maintenance of plant & equipment and escalate any issues Provide feedback to our building management as needed
  • IT Support: Work collaboratively with the local IT team on projects and large events - ensure meeting rooms are tested and all AV requests are met. We love collaborating and “Building Together” 
  • Office Barometer: Excellent emotional intelligence to interpret issues in the workplace - communicate with clarity and use simple, consistent and focused language because simple messages travel faster and are better understood by the organization
Job Requirements
  • 3+ years of Administration/Office Coordination/ Senior Hospitality, Events experience, degree qualified or related work experience
  • Knowledge of customer service principles and practices as well as administrative and financial controls
  • Proficient user of technology as well as MS office applications. Experience with Google sheets , slides , docs etc

MongoDB’s base salary range for this role is posted below. Compensation at the time of offer is unique to each candidate and based on a variety of factors such as skill set, experience, qualifications, and work location. Salary is one part of MongoDB’s total compensation and benefits package. Other benefits for eligible employees may include: equity, participation in the employee stock purchase program, flexible paid time off, 20 weeks fully-paid gender-neutral parental leave, fertility and adoption assistance, 401(k) plan, mental health counseling, access to transgender-inclusive health insurance coverage, and health benefits offerings. Please note, the base salary range listed below and the benefits in this paragraph are only applicable to U.S.-based candidates.

MongoDB’s base salary range for this role in the U.S. is:$36,000—$72,000 USD
