The Role: How you'll make an impact at Personio

Personio’s COO Office oversees horizontal and vertical functions responsible for both internal operational excellence around insights and business technology as well as our customer-facing teams. Horizontally, the Data and Systems teams, with both central and more embedded capacities ensure that different functions have the insights and tools at hand to focus on their mission. Vertically, the Customer Experience (CX) functions, involving post-sales customer-facing teams are dedicated to maximizing customer value.

As Business Lead, your primary objective is to make the COO successful in their role and help them lead, manage and scale the organization. Your responsibilities encompass running daily operations, taking the lead on special projects, and serving as a trusted strategic partner. Additionally, you will play an integral role within Personio's Business Management circle, collaborating with fellow business leaders from different departments to champion cross-departmental initiatives on behalf of the Executive team. 

Role Responsibilities: What you'll do

In more detail, your responsibilities will include:Own Daily Operations from the COO

  • You prepare and coordinate  the COO’s internal communications, such as allhands presentations or written updates and assist in crafting external presentations and speeches.
  • You prepare smaller recurring and ad hoc reports and collaborate on more complex analysis with the Data and the Strategy & Operations teams.
  • You bring relevant topics and issues from various teams to the attention of the COO and help structure and prioritize their agenda.
Running the Business Rhythm
  • You coordinate and run weekly CX Senior Leadership Meetings.
  • You coordinate the preparation and distribution of monthly internal newsletters for CX, Data & Systems to keep internal stakeholders informed and engaged.
  • You assist in the organization and execution of quarterly CX All-Hands meetings.
  • You provide support in preparation for board meetings.
  • You coordinate the organization of other department-wide meetings, e.g. annual kick-off meeting, mid-year booster, end of year event in collaboration with the Executive Assistant
  • You work closely together with the COO’s Executive Assistant to ensure that the COO’s schedule is well-organized, appointments are properly prioritized and meetings are efficiently coordinated
Coordinating Strategy Planning and Execution
  • You support the planning and organization of the half-yearly strategy onsite workshop and moderate the discussions.
  • You consolidate strategy outcomes and drive follow-up work.
  • You help with holding teams accountable for the execution of the strategy.

Role Requirements: What you need to succeed

  • You demonstrate excellent written and verbal communication skills with a talent for compelling storytelling and creating clarity.
  • You are extremely well self-organized and can balance multiple high stake priorities at the same time.
  • You have been successfully organizing complex projects, workshops and events, efficiently coordinating tasks and projects.
  • You have a proven track record in consulting, previously overseen operational teams in a tech scale-up or worked in a role of equivalent responsibility, ideally in SaaS.
  • You quickly form trusting and productive relationships with senior leaders
  • You are tech- and data-savvy allowing you to quickly extract meaningful insights.
  • You easily develop business acumen and apply it throughout your work.
