A Brief Overview

The Executive Administrative Assistant (EA) is responsible for providing executive support for an assigned

Vice President level leader. The EA will serve as the primary point of contact for internal and external

interactions on all matters pertaining to the support of any assigned leader by being responsible for handling a

wide variety of often confidential administrative tasks including but not limited to calendar management,

communications, meetings, presentations, travel coordination, preparation of expense reports, etc. This role may

provide support to additional leaders as business necessitates.

What you will do

 General administrative work: distribution of mail, calendar scheduling/maintenance, meeting

coordination, expense reporting and travel coordination for the assigned VP.

 Assist leaders with handling email to ensure timely approvals of invoices, requisitions, escalations,

urgent matters, etc.

 Proactively manage outstanding action items to ensure responsiveness and follow through on

commitments / asks

 Prepare agenda and attend ongoing staff meetings, act as scribe and track action items.

 Interact with the executive assistants in US to coordinate support needed in India for traveling leaders.

 Assist other leaders within the VP’s organization on a limited basis as needed and directed by

organization VP.

 Support with event planning and special projects

 Provide back-up for other EAs as needed.

Education Qualifications

 Bachelor's Degree

Experience Qualifications

 Typically 4+ years experience in a similar or related role required

 Experience in a public company preferred

Skills and Abilities

 High level of discretionary judgment and confidentiality

 Ability to take ownership and have consistent, accurate follow through to completion

 Superb attention to detail

 Proficient in MS Office, especially Outlook, Excel, Power Point and One Note.

 Strong prioritization for accomplishing tasks, both assigned and self-discovered

 Ability to think creatively, seeing the big picture and the steps needed to get there

 Confidence in booking all aspects of demanding Executive travel

 Experience with event and meeting planning and coordination for various activities, including dinners,

catering and offsite meetings

 Experience working with an executive who may not be in the same office

 Excellent verbal and written communication skills

 Ability to communicate with employees at all levels of the organization

 A demonstrated dedication to high professional ethical standards and a diverse workplace

 Ability to adapt to a fast paced continually changing business and work environment while managing

multiple priorities

 Ability to work some overtime as dictated by projects.
