Overview:

Prosek Partners seeks a bright, energetic Executive Assistant to support the day-to-day of several Partners. This person will work alongside our other EAs and must be a polished and enthusiastic team player with a professional 'can do, no task too small' attitude. The role requires you to be in the office 4 per week.

Primary Responsibilities:

  • Serve as administrative support to select Partners 
  • Manage day-to-day calendars including scheduling internal and external meetings using Outlook and iPhone calendar systems
  • Arrange business travel as needed including managing the relationship between Prosek and its various vendors
  • Handle monthly expenses
  • Prepare and organize important documents as needed

Media Training Management:

  • Manage media training function at Prosek, working closely with Executive Assistants and media team to coordinate sessions both in-office and out
  • Manage inventory and training equipment
  • Work with office managers to arrange meetings, meals and phone calls both internally and externally
  • Manage invoicing process for all trainings
  • When necessary, construct agendas and calendar details, highlighting key events and requested meetings. Imperative to stay on top of what's coming up and what needs to be implemented should any time become available

Secondary Responsibilities:

  • Serve as a back up to other EAs and members of the operation team during outages
  • Liaise with members of the operations team as a key part of company's infrastructure to implement new processes, maintain current ones
  • If interested, manage, and coordinate internal, culture-building office functions (company off-sites, happy hours, ad hoc culture events)

Requirements

  • Bachelor's degree from an accredited university
  • 0-1 years of experience in an administrative capacity
  • Proficient in Microsoft Outlook, Word, PowerPoint, and Excel
  • Excellent written and verbal communication skills
  • Extremely organized and detail-oriented
  • Self-starter, able to take initiative
  • Must be resourceful and a strong problem-solver
  • Works well in a collaborative environment

The anticipated salary range for this position is $45,000-$55,000. An employee's salary is determined by a range of factors including but not limited to relevant experience, qualifications, skills, seniority, geographic location, performance, and business or organizational needs. The range listed is one component of Prosek's total compensation package for employees. Other rewards may include medical, dental and vision coverage, 401(k) matching, new business commission, paid time off, and other benefits.
