About the Role

As an Executive Recruiting Coordinator you will view the world through a lens of candidate and client experience. You will have the opportunity to work across multiple regions and gain exposure to multiple functions across Databricks.  Our Exec RCs arrange complex interview schedules and capture documentation, greet and escort candidates, manage post-offer paperwork, assist in coordinating new executive on-boarding and communications, as well as other additional project management and reporting as needed. You will use existing recruiting tools and practices as well as stay up to date on new tools and practices that could be used to continuously improve our processes. 

 

Responsibilities

  • Act as point of contact for executive candidates throughout interview process and provide a “white glove” candidate experience
  • Handle heavy, complex interview scheduling that may consist of international and offsite meetings as well as external video/telepresence conferencing
  • Support recruiters and sourcers on the team with seamless scheduling and coordination of all aspects of the hiring process
  • Partner with Executive Assistants, Interviewers and Team Coordinators to ensure a great candidate experience
  • Serve as on-site host to high-profile candidates during in-person interviews
  • Manage expense management and provision travel authorization for high profile candidates
  • Manage drafting of employment agreements for all executive new hires
  • Coordinate and manage process for high-touch candidate gifts
  • Manage and track sensitive data for the Executive Recruiting team
  • Generate various reports to be presented to members of the Executive Leadership Team
  • Maintain confidentiality and security of sensitive information and files 
  • Own tasks that will round out the hiring process, such as, but not limited to: candidate reimbursements, data entry and cleansing, onboarding, POs, etc.

  • Experienced at creating a high touch candidate experience and driving a complex recruiting process by taking ownership of your work 
  • Excellent communication skills and highly responsive
  • Always a step ahead and proactively looking out for gaps and opportunities.
  • You have superior organizational skills, integrity and great follow through. You don't get overwhelmed easily
  • Naturally curious. You're innovative, extremely creative and constantly looking for ways to improve upon things
  • You are self-aware, well-spoken on the phone and eloquent in emails. You’re respectful of the candidate and the stressful process a job hunt can be
  • A utility player. You're willing to help out wherever needed and the most organized when doing so

 

Qualifications

  • Minimum of 5 years experience as an Executive Admin or Executive/Leadership Recruiting Coordination experience, prior search firm or HR experience a plus
  • Excellent attention to detail
  • Must be able to work swiftly with a high sense of urgency and be comfortable with frequent shifting priorities and time sensitive, tight deadlines
  • Must be a self-starter, quick learner, and highly organized with an incredible attention to detail
  • Professional written and verbal communication skills
  • Ability to follow up, know what’s going on at all times and respond quickly
  • Flexibility, patience, persistence and perseverance
  • Experience with Google office, Greenhouse, and candidate databases
  • Associate or Bachelor's Degree or equivalent work experience
