This role in a nutshell:
This is an excellent opportunity to gain a variety of experience across different areas of the business. You'll report into the Lead EA (EA to the CEO) and will be responsible for supporting them with day to day running of the C-Suite office, support with a variety of Team Assistant tasks such as diary management, meeting set up, offsite prep, document creation and wider assistance to the C-Suite EAs on an ad hoc basis. You'll provide first class support to the Lead EA and wider team by knowing what the priorities within each area of the business are, helping inform proactive management of the team's time. It'll be your business to know the Business - you'll be the eyes and ears, anticipating problems and resolving issues before they arise. You'll work closely with other Assistants to ensure cohesive communication and a joint-up approach amongst the assistants community. You'll also drive engagement within the team, championing shared learning, sharing insights, ensuring a great experience for new team members and increasing visibility/awareness of our Belonging Networks.
Your key outcomes will be:
You'll provide administrative support to the EA to the CEO:
- Assisting with arranging internal & external meetings
- Assisting on the ground in our London office for our team, being the go to support
- Proactively managing team holiday calendars / flagging any clashes
- Handling meeting room setup, organising refreshments and preparing documents for meetings
- Coordinating travel arrangements including trains, flights and hotels
- Managing expenses, POs and invoices
- Handling & maintaining email distribution lists
- Document production (including creating meeting agendas/presentations)
- Assisting in planning and coordinating events, offsites and team away days
- Ensuring and maintaining confidentiality of all appropriate communications and documentation
- Assisting with any necessary/ad hoc additional support to the Executive Assistants or Leaders, holiday cover
- Meeting and greeting guests/visitors
- Working closely with the EA to the CEO to support on variety of C-Suite needs, (document creation, meeting set up, on the ground in office support, events, wider pool requests on an ad hoc basis)

- Have experience working in an office in an admin/support role
- Are comfortable within a fast paced, deadline driven environment
- Are able to confidently organise and prioritise workload

- Are great at building relationships and collaborating with others - you're a great teammate!
- Have tech literacy across a variety of tools. GSuite (sheets, slides, docs) experience would be hugely beneficial
- Have excellent literacy and reporting skills, as well as strong communication skills
- Are great at spotting opportunities for process improvement and act upon this
- Are open to learning new things, sharing knowledge and different ways of working
- Confidentiality is a requirement – this role is party to highly sensitive information

We’ll pay you between £24,000 - £30,000, depending on your specific skills and experience. If your expectations are a little different, have a chat with us!
