We work in close partnership with staff at all levels to build administrative support to keep ON running smoothly. Position Summary:The Administrative Assistant’s primary role will provide administrative assistance to a selected group of senior leaders from various teams. We are looking for someone with excellent customer relationship skills, who shows initiative and enjoys working as part of a team. The ideal candidate will be self-motivated, self-confident and exercise good judgment. How you’ll contribute to our impact:Office administration (approx. 30% of the role) - Working in collaboration with other administrative staff the duties will include:

  • Welcome visitors and guests to the office as the front of house receptionist
  • Maintain an operational and cohesive work environment, ensuring the communal spaces (e.g., kitchen, conference rooms, general office areas) are clean, clear, and organized
  • Order and maintain kitchen and office supplies
  • Respond to office requests via varied communication methods (e.g., snail mail, electronic, in-person, etc)
  • Assist the team with the planning and execution of internal and external staff events and business meetings, including meeting room set up and breakdown, ordering of catering, and other duties as assigned
  • Coordinate with the building facilities management team to support office operations (e.g. security set-up, mail delivery, shared space scheduling, on-site events, parking, etc)
  • Serve as a key contact and manage vendor relationships and services that support office operations
  • Support ad hoc office projects as needed

Administrative assistance for senior leaders (approx. 70% of the role) - Working on a one-to-one basis with 3 to 5 senior leaders responsibilities to include but are not limited to:

  • Coordinate individual calendars and the respective department calendar
  • Ensure timely and accurate record keeping of correspondence, contacts, electronic file storage
  • Facilitate meeting coordination internally and externally while ensuring required resources are readily available
  • Coordinate domestic and international travel arrangements for stakeholders to include securing travel authorizations, securing international visas, creating trip itineraries, arranging air and/or ground transportation, etv
  • Process extensive monthly expense reports
  • Act as backup to other Administrative/Executive Assistants during their absence
  • Maintain a standard of excellence in compliance with ON’s policies and procedures
  • Perform additional ad hoc administrative responsibilities as needed

Location: While we are currently working in a hybrid capacity, the administrative assistant will be required to work in our Washington D.C. office a minimum of 3 days per week. There will also be occasional coverage requirements of 5 days per week to support a specific project or event. Employees may reside within 100 miles of ON’s Washington, D.C. office location which includes the states of Maryland and Virginia. Candidates must have a current U.S. work authorization to be considered.Compensation:This is a full-time, non-exempt position that features competitive pay and benefits, including health care (medical/dental/vision), paid time off, and a generous employer 401(k) contribution. The salary is $75,373 in Washington, D.C., Maryland, and Virginia (i.e., the DMV). What You'll Bring to the Team:

  • Minimum of 3 years experience in an administrative and/or executive assistant position supporting executives and a broader office team in a fast-paced work environment
  • Excellent written and verbal communication skills
  • Exceptional attention to detail & analysis skills with the ability to accurately prepare and proof materials and correspondence
  • Demonstrated solution-oriented problem-solving abilities
  • Ability to expertly handle complex calendaring across internal and external parties
  • Demonstrated ability to work independently and collaboratively in teams on projects and across departments
  • Exceptional interpersonal skills and a proven ability to interact with, establish and maintain effective working relationship with people at all management and support levels
  • Flexible and performs well under pressure ; able to successfully handle tasks under deadline with composure, patience and well developed time management
  • Self-motivated, accurate, discerning and exhibits strong judgement and professionalism at all times
  • Strict adherence to ethical and confidentiality guidelines
  • Proficient computer skills (e.g., MS Office – Excel, Word, PowerPoint, Ramp)
