We're looking for an Administrative Business Partner for our LatAm Country Manager as well as supporting the São Paulo, Brazil office for Pinterest. You’ll manage busy schedules and maintain great relationships internally and externally, and you’ll need to be an amazing communicator who’s passionate about details. You must have a deep administrative skill set and be highly organized.

What you'll do:

  • Complex calendar management: Updating meeting cadences to reflect business priorities, aligning with executives on schedules, proactively scheduling complex/large meetings, working with external and internal stakeholders regularly
  • Support executive in preparation of team meetings, including preparation of meeting content, capture action items and circulate meeting notes
  • Support executive in preparation for events, including researching event location, logistics management, and prepare event content 
  • Coordinate team morale activities
  • Support in coordinating with business facing XFN partners such as HR, assist with recruiting scheduling (recruiting related meetings / org changes)
  • Manage scheduling meetings for the exec with external partners 
  • Manage reconciliation of expenses for the exec(s) supported 
  • (If applicable) Assist with travel coordination
  • Prepare swag orders for the executive organization including submitting and processing purchase orders
  • Manage executive’s employee recognition budget (STARS/AwardCo)
  • Provide in person support for offsites, all hands, or specific working sessions
  • Provide assistance to visiting internal and external guests
  • Assist Events team as local POC for office-wide events/swag
  • Act as on the ground local support & logistics management in collaboration with Workplace/IT teams

What we're looking for:

  • Experience ideally supporting a VP or Director level executive
  • Proficient in gSuite, Slack, Workday, Expensify, MS Office Suite 
  • Excellent writing, communication, interpersonal skills
  • Excellent organizational skills to execute multitasking in a fast-paced deadline oriented environment 
  • Ability to move quickly and make confident decisions while being a data-driven and analytical thinker
  • Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight
  • Hands on experience handling tight deadlines, last-minute changes and ability to pivot quickly
  • Exceptional planning and organizational skills
  • Excellent problem-solving skills and high attention to detail capabilities
  • Team player capable of executing and finishing end-to-end tasks
  • Handle confidential information with integrity
  • Fluent in English, Spanish & Portuguese (required)
