Role Description:

Symphony is looking to hire an Executive Assistantin Belfast to support our President & Chief Financial Officer, General Counsel, Chief Administrative Officer, and Chief People Officer as maternity cover for a minimum of 6 months commencing on or around March 2024 (with some flexibility on start date). We are looking for an energetic and positive professional with great time-management and multitasking abilities to keep everything running like clockwork. The role will involve collaborating with clients and colleagues in a fast-paced, dynamic and international environment.

 

Responsibilities:

  • Management of calendars including prioritisation, conflict resolution, recurring meeting rationalisation, gate-keeping of daily and weekly schedules
  • Coordinate meetings; liaising with industry executives
  • Partner with key internal and senior external stakeholders
  • Manage international travel itineraries and monitor approvals
  • Reconcile monthly expense reports; accurate and timely submission
  • Raise purchase orders and track payments
  • Minute taking and proofreading
  • Ensure information is communicated promptly, accurately and with the utmost discretion
  • Internal event planning; team building / social events

 

Required Qualifications:

  • 5-10 years’ experience as an Executive Assistant or similar role supporting top-level executives
  • Fluency in English (including written proficiency)
  • Excellent written and verbal communication skills; ability and interest to collaborate with contacts from global offices and institutions
  • Confident working independently and exercising initiative as required. Similarly, a motivated team-player
  • Hands on experience on Google apps (Gmail, Gcal and Gdocs) and Microsoft Office
  • Experience working in a chat-based environment that is dynamic and fast-paced
