The Internal Events Team (fka Workplace Events) plans and supports internal employee events (from client meetings to company-wide global events held on the same day) with the intention of creating a culture that’s welcoming, fun and brings everyone “..the inspiration to create a life they love.” 

 

As an Event Marketing Specialist I, you will either project manage with xfn orgs and/or design and program our own company-wide events throughout the year; both scenarios working closely with cross-functional partners to work toward shared goals across the business. This role requires a passion for hospitality, strong communication skills, and the desire to build foundational relationships with employees around the world.

 

What you’ll do:

Event Leadership and Management // Manage and deliver company-wide employee events (assigned by Head of Events) of varying sizes and complexity. Leading a team of internal cross functional partners, vendor management, setting vision/direction, specifying success metrics, and working toward common goals.

  • Work cross functionally with office leads, Site Managers, EABPs, culture clubs, and others to design and execute global events that work within the parameters of each unique office. 
  • Manage strict budgets and process POs.
  • Review and negotiate vendor contracts.
  • Manage organized tracking system to successfully oversee 10+ office logistics and capture metrics for management
  • Knowledge of off-site event planning
  • Comfort in booking and planning off-site venues for 300+ attendees
  • Engaging remote/virtual employees within the programming
  • Full production planning from employee registration, security and check in plan, event flow/agenda, floor plans, decor, design, vendor management, onsite management, load in, load out logistics, and more.
  • Post event tracking of metrics (ex: % of office who signed up vs actually attended by tracking RSVPs)
  • Fun, alternative ideas to brainstorm with the team for unique and memorable evenings

  • Intentional and thoughtfully designed experiences that connect attendees to the company by creating unique, on-brand environments and events.
  • Plans and ideates experiences that promote our creative and inclusive company by working alongside I&D and Pinclusion Groups, as well as our internal communications, marketing and brand teams
  • Survey employees to gain insights and iterate programs to achieve target goals.
  • Report findings and provide program suggestions to manager.

 

What we’re looking for

  • Interest in Design and Brand. 
  • Excellent verbal and written communication skills
  • Must have experience in managing strict budgets
  • Ability to travel internationally and maintain a flexible schedule to accommodate multiple time zones, sometimes over the weekends and/or after hours. 
  • Hyper-focused on building personal relationships, inclusivity, advocating our brand, and curating belonging.
  • 7+ years of practical experience in a role related to event management (food and beverage, off-site event operations, Workplace (onsite employee events, etc)
  • Ability to commute/travel 20% for offsite light travel to conduct site visits for select events
  • Strong time and task management skills; ability to set priorities and meet deadlines
