The Role

We are in search of a highly motivated Executive Assistant (d/f/m) who will join our CEO office team and play a crucial role in maximizing our CEO's time in his position.

Your key responsibilities will include:

  • You will take the initiative in efficiently managing the CEO's calendar, prioritizing incoming meeting requests.

  • You will be tasked with coordinating the logistics of significant internal and external meetings, including those involving the board and leadership team.

  • Your role will extend to expertly managing travel itineraries and arranging associated transportation and accommodations.

  • Ensuring the CEO is well-prepared, you will provide thorough briefings for all meetings.

  • Your responsibility will include developing and maintaining a forward-looking annual plan for the CEO that aligns with both business priorities and the company's annual plan.

  • You will actively challenge agenda items to ensure that the CEO's focus remains on high-impact topics, effectively utilizing their time.

  • You will be in charge of overseeing expense management and reporting for the CEO, ensuring accuracy and compliance.

  • Managing billing and accounting tasks tied to the CEO's activities will also be under your purview.

  • Your role will involve preparing for and participating in meetings, ensuring that appropriate follow-up actions are diligently pursued.

  • Coordinating with both internal and external stakeholders, you will strive to ensure every interaction is both productive and enjoyable.

  • You will be responsible for the consistent management of recurring company-wide meetings, including weekly meetings.

By excelling in these responsibilities, you will significantly contribute to optimizing the CEO's efficiency and supporting the overarching objectives of our company.

What you need to succeed

  • 5+ years in a relevant role, preferably within a dynamic and fast-paced setting.

  • Demonstrating high levels of professionalism, resiliency, service orientation, and a proactive mindset towards tasks, coupled with a genuine interest in making well-informed decisions for the business.

  • Prior exposure to demanding environments such as management consulting, big tech, or startups.

  • Proficiency in breaking down complex issues and robust quantitative problem-solving skills, with a strong emphasis on finding effective solutions.

  • Consistently executing responsibilities with diligence, ensuring meticulous attention to detail.

  • Maintaining confidentiality and trustworthiness in handling sensitive, non-official, and personal information related to the department and the organization.

  • Establishing a dependable, approachable, and amiable presence within the team, maintaining a positive demeanor even in challenging situations.

  • Competence in using GCalendar, GSheets, and GPresentations.

  • Strong verbal and written communication skills in English, with proficiency in German being an advantage.
