Position Overview

StepStone is seeking an Executive Assistant in StepStone Private Wealth’s Charlotte office to provide administrative and logistical support to the SPW Finance and Operations leadership team. The selected candidate will interact and collaborate with various internal departments, coordinate with prospects, clients, and key external parties. A key for success in this role is an individual’s ability to consistently communicate clearly and maintain a professional demeanor in a dynamic, high-growth organization.

Essential Job Functions:

  • Manage calendars and meetings across time zones for busy senior leaders ensuring there are no overlapping meetings, focus time is scheduled and personal requirements are considered.
  • Coordinate domestic and international travel arrangements for four senior managers.
  • Coordinate logistics and assist with onboarding of new team members.
  • Manage cross-office logistics by collaborating and delegating administrative duties and ensuring deadlines are met.
  • Provide timely, professional administrative assistance to executives to enhance productivity.
  • Manage expense reports for select members of management.
  • Assist in the coordination of company and team meetings and events.
  • Create and modify documents and presentations using Microsoft Office
  • Collect and standardize materials for client, vendor, internal or external meetings.
  • Assist in the organization and continuous upkeep of critical company documents.
  • Initiate and continuously improve administrative procedures.
  • Other ad-hoc projects and duties as assigned.

Education and/or Work Experience Requirements:

  • Minimum of three years of executive assistant experience
  • Prior administrative experience for multiple individuals in a financial services organization or equivalent preferred
  • College degree preferred

Required Knowledge, Skills, and Abilities

  • Consistent and calm professional behavior.
  • Clear, concise, and professional verbal and written communication skills.
  • Acute attention to detail and accuracy with ability to identify when one should step into a process.
  • Effective communication and problem-solving skills.
  • Strong ability to prioritize activities while working on multiple projects and achieve target deadlines.
  • Self-motivated and strong work ethic.
  • Ability to maintain confidentiality of sensitive matters.
  • Advanced experience with Microsoft suite – Outlook, PowerPoint, Word, Excel.
  • Experience working with Concur preferred.
