The Front Office Admin/Shipping Person is responsible for managing front desk operations, providing excellent customer service - both externally and internally, and handling shipping and receiving tasks. This role involves greeting visitors, answering phones, coordinating office supplies, and ensuring the accurate and timely shipment and receipt of goods. The ideal candidate is organized, detail-oriented, and able to multitask effectively. 

 

Front Office Duties: 

  • Greet and assist visitors, clients, and employees in a professional and courteous manner. 
  • Answer and direct phone calls, taking messages and forwarding calls as necessary. 
  • Manage front desk operations, including handling incoming and outgoing mail and packages. 
  • Coordinate office supply inventory, placing orders as needed, and ensuring stock levels are maintained. 
  • Schedule and coordinate meetings, appointments, and conference room bookings. 
  • Maintain a clean and organized front office area. 
  • Assist with general administrative as required 
  • Provide support for office events and employee activities as required. 

 

Shipping and Receiving Duties: 

  • Prepare and process outgoing shipments, including labeling, packing, and arranging for carrier pickup. 
  • Receive and inspect incoming shipments, verifying items against purchase orders and handling discrepancies. 
  • Maintain accurate records of shipping and receiving activities, including tracking and reporting on shipment statuses. 
  • Coordinate with carriers and freight companies to ensure timely and accurate deliveries. 
  • Manage shipping supplies inventory and reorder as necessary. 
  • Assist with inventory management by updating records and conducting periodic counts. 
  • Ensure compliance with shipping regulations and company policies. 

 

Qualifications: 

  • High school diploma or equivalent; Associate’s degree or higher preferred. 
  • Proven experience in an administrative role, preferably with front office and shipping responsibilities. 
  • Strong organizational and multitasking skills with the ability to prioritize tasks effectively. 
  • Excellent verbal and written communication skills. 
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment. 
  • Experience with shipping software and logistics platforms is a plus. 
  • Ability to handle sensitive information with discretion and maintain confidentiality. 
  • Strong attention to detail and problem-solving skills. 

 

Physical Requirements: 

  • Ability to lift and move packages and shipments up to [specify weight, e.g., 50 lbs]. 
  • Extended periods of sitting or standing may be required. 
  • Dexterity to handle office equipment and shipping materials. 

 

Work Environment: 

  • Office setting with potential for occasional warehouse or shipping area exposure. 
  • Regular business hours with occasional overtime as needed.
