FirstVet is the first truly digital veterinary clinic. We let pet owners meet with experienced vets via their mobile or computer. Our solution contributes to a more balanced and better functioning care process for all parties. By providing a first point of contact for all pet owners FirstVet makes pet care more available, more efficient, and more qualitative.

Our video vet service covers 7 countries (Sweden, UK, Germany, Norway, Finland, Denmark and the US) and is supported by our global team of Operations Managers, Staffing Coordinators and out-of-hours Vet Support. The markets are split into two teams and we are now looking for an Operations Manager to lead one of the teams while their manager is on parental leave.

The role: 

As our parental leave Global Operations Manager you will lead your team and be responsible for 200+ veterinarians in Finland, Norway, UK and US. You will be accountable for staffing the service and meeting objectives for capacity utilization and costs on short- and long-term. You work closely with your team of staffing coordinators to plan, execute and follow up on staffing and other initiatives to improve service delivery and reach business targets.

You will be part of a team that values hard work and having fun together, we support each other to do what’s best for the business. Besides your own team, the rest of the Operations team and the Veterinary team you work with all parts of the company such as Commercial, HR, Product and Finance.

This is a fixed term contract until June 2025 starting in April/May 2024. The role is remote and you can be based in any of our European markets, preferably UK or Sweden. Working language is English and, working in a remote business, we attach great importance to your communication skills. 

Your responsibilities:

  • Lead your team of two staffing coordinators including yearly developmental reviews and weekly feedback sessions.

  • Long-term scheduling to ensure capacity utilisation and cost efficiency.

  • Make staffing plans for your countries and recruit to meet expected demand.

  • Continuously monitor trends and adjust staffing plans when needed.

  • Work with short-term staffing to balance supply and demand.

  • Follow up and report on weekly / monthly KPIs.

  • Analyse performance and take action to improve operations.

The person we are looking for:

To thrive in this role you will need to have a strong analytical mind and be able to make decisions and act on your insights. We believe that you have:

  • Higher education.

  • Experience as a personnel manager or team lead is required.

  • Practice Management or operations experience from veterinary or human health is highly valued.

  • Ability to navigate and prioritize among a wide variety of work tasks.

  • Comfortable giving structured feedback

  • Experience with Google Sheets/Excel 

  • Fluent in English

  • This is a fully remote role and candidates are expected to be proficient in using digital tools both for communication and work tasks, such as scheduling and spreadsheets (spreadsheet experience mandatory).
