We are seeking a Manager Billing Operations to join our team. This critical role will focus on process improvements, scalability, and strategic growth, demanding a blend of strategic thinking to enhance long-term business scalability and hands-on tactical execution. Billing Operations continuously aim to refine and further automate processes, as well as acting as a key stakeholder in new product rollouts which requires close collaboration with Finance, Sales, Product, Legal and more. Together, we will directly influence the future of Personio.

Role Responsibilities: What you'll do

  • Conversion of contracts and contract amendments into subscriptions in our subscription management and billing system (Chargebee). Invoice generation and payment management in accordance with legal and tax requirements

  • Operational execution of cash collection and contribution to the continuous improvement of our cash collection process

  • Ownership of all high touch, intricate, non-standard bookings to ensure accuracy of work and timely processing for the company's highest value customers

  • Point of contact for other teams and stakeholders as well as customers when it comes to billing and subscription related queries

  • Active support of internal fraud prevention and resolution measures 

  • Continuous improvement of quality assurance and compliance in accordance with internal data governance

  • Develop strong working relationships with internal stakeholders from a variety of teams across Sales, Product and Finance 

  • Support of company wide projects and measures such as new product launches

  • Drive improvements and further automation in the subscription management field and adjacent areas

  • Support preparation of ad-hoc analyses for quality assurance and generation of insights

  • Play a leading role in the training and development of team members

  • Play a key role in helping to identify errors, bugs and inefficiencies as well as driving key decision making processes during project scope, build out and UAT of new system integrations for the company

Role Requirements: What you need to succeed

  • Business degree or MBA

  • 4+ years experience in order administration and/or A/R experience in a fast-paced hi-tech SaaS environment dealing with complex configuration requirements

  • Demonstrate strong problem solving capabilities, i.e. to analyse complex deal issues, make decisions, and solve problems self-sufficiently

  • Ability to evaluate and validate high-value deals, communicate business issues and respond to internal business stakeholders in a timely manner

  • Ability to identify areas of improvement, run enablement sessions, propose and lead projects aimed at streamlining the order management function

  • Proactive, solution-oriented mindset with a passion to build from scratch and drive continuous improvement

  • Strong project and process management skills

  • Excellent knowledge of Salesforce, Chargebee and CPQ preferred

  • A self-starter with a strong desire to make a positive impact on the organisation
