Job Overview:

This part-time (bilingual) position (20-25 hours per week) requires the office administrator to be physically in the office during work hours. There could be some flexibility regarding those hours; however, there are days/times wherein the presence will be required based on office activity. 

Representative Duties:

  • Greeting visitors and directing them to the right person
  • Greeting and onboarding new hires (ideally available on Monday morning)
  • Ordering office supplies, lunches, and snacks; restocking office pantry/kitchen with snacks, etc.
  • Maintain inventory of office supplies, snacks, etc.
  • Serve as the main conduit to building management, including coordinating building-driven meetings and events, managing parking passes, etc.
  • Maintain office seating plan.
  • Ensuring that common spaces (kitchen, conference rooms, and open office spaces) are tidy, promoting among office colleagues the need to manage this themselves
  • Sort and distribute mail.
  • Help in the organization and execution of office events (Thursday company-sponsored lunches, “happy hours”, celebrations, decorations, etc.)
  • Other tasks that come up that require attention for the smooth running of the office
