Description
The Places Team at Cloudflare is looking for a proactive and enthusiastic Office Coordinator to support and elevate the day-to-day operations of our growing Munich office. In this role, you'll be the first point of contact for employees, guests, and vendors - ensuring a welcoming, well-organized, and high-functioning workspace that reflects our culture and values.
You’ll partner with teams across the region, support local events and programs, and help drive smooth daily operations with a hospitality mindset and strong attention to detail. This role is ideal for someone who thrives in fast-paced environments, loves solving problems, and takes pride in creating great experiences.
This role reports to the Regional Workplace Operations Manager
Responsibilities
- Be the face of the office, warmly greet employees, visitors, candidates, and vendors
- Liaise with the Coworking Community team to enhance the office experience, and improve processes. Eg. Maximizing space, support with team onsites/events, occupancy tracking, reporting maintenance/facilities issues, etc.
- Own the flow of the day-to-day: maintain an organized, tidy, and fully operational office
- Serve as the go-to for onsite support: respond to employee questions, manage email and ticket queues, and handle administrative needs
- Manage incoming mail, including confidential mail handling, and assist with shipments when necessary
- Support internal events, executive visits, and team gatherings, including setup, teardown, and food ordering
- Manage snack and lunch programs, ensuring variety and alignment with sustainability goals
- Order and maintain office and pantry supplies - keeping spaces stocked, functional, and inviting
- Manage budgets and invoices
- Partner with vendors: support onboarding, place purchase orders, and track services
- Flag and triage maintenance or security issues, coordinating resolution with relevant teams
- Support office moves, including desk reconfigurations and seating assignments; contribute to space planning and long-term office growth strategy
- Assist in onboarding new hires and welcoming international visitors
- Collaborate closely with other EMEA offices (especially Paris and Amsterdam) to ensure alignment and provide remote support as needed
- Contribute to regional Places team initiatives and planning efforts
Requirements
- 2+ years of experience in office coordination, hospitality, executive support, or operations in a fast-paced environment
- Friendly, patient, and service-minded, with strong communication and interpersonal skills
- Detail-oriented and highly organized - no task is too small to sweat
- Experience supporting a growing office of 75+ employees
- Proven ability to manage vendors and juggle multiple projects
- Fluent in German and proficient in English
- Confident working independently and as part of a distributed team
- Comfortable using Google Workspace and productivity tools
- Experience managing budgets and using a PO platform
- Experience working with executives
- Able to commit to being onsite full-time
Nice to Have
- First Aid certification (or willingness to obtain - training provided)
- Familiarity with German occupational health & safety standards
- Experience supporting offices across regions
