The Team

 

People are core to our business and our People Team at Harry's works to build and support the Harry's team at large through innovative ways.  We are looking for an engaging and dynamic individual to join the International people team to provide much needed support in driving the people agenda and creating a strong, inclusive and engaging culture. 

 

The Role 

 

As or Office Manager & EA, you will work directly with the GM for the International Business and the Head of People and Culture to run the London office, creating a great employee experience through workplace events, facilities management, and general People support. You will also provide leverage to our GM by keeping him organised and providing EA support 

 

We are looking for a detail-oriented individual who is excited about working in a fast-paced environment with varying responsibilities. You will undertake office and facilities management, as well as designing and executing internal events and driving employee experience programs. We’re looking for a friendly and service-oriented individual who is excited about enhancing our employee experience and elevating the office culture. You will also work closely with the International GM managing calendar coordination, scheduling, booking travel, expense reporting and sitting as part of his leadership team taking and cascading notes. 

 

EA to GM

  • Manage the scheduling of GM’s internal and external meetings; syncing with EAs and International leadership when needed.
  • Manage GM’s expenses and travel needs.
  • The first point of contact for meetings and availability; gatekeeper for internal stakeholders and managing expectations.
  • Coordinate Leadership Team events and offsites, ensuring the team is prepared for these meetings and events.  This includes soliciting agendas, drafting prep docs, creating itineraries, making reservations, printing material, taking great notes, and doing whatever it takes to ensure effective preparation and action item follow-ups.
  • Attending Weekly Leadership sync, and leadership offsite, take note and cascading actions as required. 
  • Support the GM with Board meeting deck and preparation

Workplace Experience

 

  • Working with the Head of People to create, drive and deliver the Workplace Experience to build a great place to work for all employees 
  • Oversee strategy, design, planning, and execution of company events including scoping, budgeting, scheduling, vendor management, and overall event communication (e.g. All Team Offsite, Holiday Party, Anniversary Party).
  • Working with the Head of People to design and drive the strategy behind delivering experiences that enhance connectivity in the new hybrid environment, ensuring we have an inclusive agenda of fun activities throughout the year 
  • Own the international Internal communications Strategy to ensure consistent narratives across the teams, driving engaging comms and deepening employee engagement.
  • Partner with cross-functional and global teams to identify and capture opportunities to tell impactful stories that keep the team informed and drive engagement
  • Contribute to the International Emplyee Resource Grpups, focusing on advancing the social agenda through a Diversity & Inclusion Programme.
  • Support people managers in driving our Intl employee experience programmes  (e.g. welcoming new hires, anniversary and birthday recognition, milestone moments)

 

Office Management & Facilities

  • Be the point of contact for employee, visitors and building management 
  • Office Management including health & Safety, cleaning, first aiders, fire wardens and ensuring the day-to-day smooth running of the office
  • Manage and lead workplace-related projects such as move coordination, office space optimisation
  • Ensure the office is well run and managed, arranging for contractors, IT and maintenance as and when required to ensure we have a fully operational office at all times
  • Managing the Breakfast, Lunch & Snack ordering for the office ensuring we always have enough and stay within budget, producing theme menus as needed for events and celebrations

Generalist HR Support 

  • Be the cultural ambassador for the office - constantly looking for ways to make the International Team a better place to work and drive employee engagement.
  • Support Head of People and Culture in scheduling, communicating and driving L&D-led team activities such as Fireside Chats and Lunch/Beer and Learns
  • Drive International new hire communications and managing their in-office experience including key cards, desk support and goodie bags 
  • Manage offboarding for all employees (complete IT offboarding, arrange return of all equipments) 
  • Support on adhoc people projects as and when required
