Position Overview

The Office Coordinator/Executive Assistant of StepStone Group in San Francisco will support the general office administration activities of a dynamic, high-growth organization. Provide Executive Assistant support to Partners and general SRE senior team (exact responsibility will be confirmed). This role is client facing, so the candidate must project a professional company image through in-person and written interaction. Maintain comprehensive knowledge for SRE administration and operational areas to ensure smooth collaboration within the SRE administrative team.

Essential Job Functions:

Executive Assistant Support for Senior Team members assigned.

  • Travel: Proactively anticipate and support the travel need of those under your responsibility.

This will include researching and presenting the best travel options to those under your responsibility when requested. Ensuring all required visa for travel are secured, and all passports are valid for travel. Liaising with the company travel agent to ensure the agreed travel has been booked and confirmed.

  • Expenses: Proactively support the senior team with their expenses.

This will include noting when expenses are due, collecting all required physical receipts/business codes for the team expenses and entering these into concur for those under your responsibility. Manage the full expense process until payment/completion and ensure they are refunded fully and correctly.

  • Calendaring: Looking ahead and managing conflicts, scheduling conference calls/in person meeting for those under your responsibility.

This will include anticipating priorities, and querying/flagging required items to senior team as needed. Confirming approval for external meetings when requested with those under your responsibility before scheduling them.

  • Conferences: Proactively managing the needs those under your responsibility.

This will include regular catchups and attendance on the regular SRE calls to proactively understand when there are upcoming conferences, reaching to senior team under your responsibility to understand what conferences are coming up and who needs to attend. Confirm availability at conference, ensure those attending is registered, ensure full agendas are shared in advance, and that required travel has been arranged.

  • Support staff in assigned project-based work.
  • Schedule regular meetings with those under your responsibility (weekly at a minimum) to update on agendas, expectations on a 1 to 1 basis, at certain times this may need to be more frequent.
  • Create and modify documents using Microsoft Office (must be advanced in Microsoft PowerPoint, Word, Excel)
  • Ad-hoc support – availability to react to unexpected situations that arise for those under your responsibility.
  • Other duties as assigned.

Office Coordinator

  • Oversee facility services, maintenance activities and vendors.
  • Ensure operations adhere to policies and regulations.
  • Support Office moves.
  • Oversee inventory for production materials, office supplies, and kitchen refreshments.
  • Full support organizing Team events and offsites.

Education and/or Work Experience Requirements:

  • 2+ years of executive assistant or office manager experience
  • Prior administrative experience in a financial services organization or equivalent preferred
  • College degree preferred

Required Knowledge, Skills, and Abilities

  • Acute attention to accuracy and detail
  • Effective communication skills and strong problem-solving skills
  • Strong ability to prioritize activities while working on multiple projects and achieve target deadlines
  • Self-motivated and strong work ethic
  • Professional verbal and written communication skills
  • Advanced knowledge of Microsoft Office (Outlook, PowerPoint, Word, and Excel essential)

Salary Range - $70,000 - $87,500

The salary range is an estimate of pay for this position. Actual pay may vary depending on job-related factors that can include location, education, skill, and experience. The salary range does not include any benefits or other forms of possible compensation that may be available to employees.
