Office Operations Manager - Lisbon (Onsite Full-Time)

 

Description

The Places Team at Cloudflare is looking for an experienced and enthusiastic Office Operations Manager to oversee and elevate the day-to-day workings of our growing Lisbon office. In this role you’ll partner with other Office Operations Managers around the globe to share ideas and feedback to ensure our spaces are operating at their highest level. You’ll continuously solicit feedback from employees and guests to help shape and influence new buildout projects throughout the world. You’ll partner with numerous teams across the company (IT, Legal, Physical Security, etc.) as well as many external partners and vendors to ensure our spaces are running smoothly and efficiently. You’re comfortable working in a really fast-paced environment and have a keen eye for detail and a knack for creative problem solving while being passionate about innovating and experimenting with the ability to pivot quickly. You possess a hospitality mindset and take pride in having excellent customer service skills. You’ll bring fresh ideas to help us build new processes and streamline and rework old ones. You’re an expert communicator and motivated self-starter who’s willing to do whatever it takes to help make Cloudflare a wonderful place to be for employees and guests alike.

This position will report directly to the Regional Manager, Workplace Operations - EMEA.

Responsibilities

  • Get to know how teams use our spaces by observing and actively soliciting feedback
  • Help to manage and up-level our "onsite/offsite" concept
  • Closely manage day porters and all other operations vendors, and foster strong relationships with building management, external vendors, etc.
  • Run RFPs and onboard and manage a large portfolio of vendors
  • Draft and send office-wide updates and communications
  • Partner with our IT and Physical Security teams on various initiatives and projects
  • Liaise with building management and business partners as necessary
  • Oversee and implement office-wide H&S procedures, and partner with HR, Physical Security, and Legal on any particular process implementations and reporting procedures
  • Oversee food ordering and stocking, including snacks and team lunches, with sustainability as a top priority
  • Manage the ordering and inventory of office furniture and supplies
  • Collect and distribute mail and deliveries as well as sending the occasional parcel
  • Troubleshoot maintenance and security issues as they arise
  • Coordinate and execute office moves
  • Aid in the onboarding of new hires
  • Manage swag ordering and shipments
  • Greet and register Cloudflare guests, candidates, and delivery vendors as well as welcoming local and international Cloudflare employees 
  • Host in-office events (and come up with creative ideas) in an effort to inspire connectivity and connection
  • Work closely with local Site Lead as well as Head of Office while actively communicating with the local team to build community and knowledge about in-office happenings
  • Assist with the organization and execution of internal events (e.g. meetings, meetups, on-sites)
  • Support the rest of the EMEA Places team with administrative duties when necessary (answering tickets, answering emails and enquiries, holiday cover)
  • Recruit, onboard, manage, and coach new team members as the office grows
  • Participate in workplace and facilities planning meetings as needed

Requirements

  • 5+ years of experience as a people manager in an office operations role
  • Customer service oriented with an outgoing, patient and professional demeanor
  • Experience working in a high-growth office of more than 500 employees
  • Strong attention to detail
  • Demonstrated vendor and project management experience
  • Experience working with teams in different timezones
  • Excellent communication skills
  • Ability to multi-task in a very fast-paced environment
  • Ability to manage track and manage budgets
  • Fluent in Portuguese and English
  • Able to commit to being onsite full-time
  • H&S experience, desired but not required (training will be provided)
