The Receptionist will be based out of our NYC office will provide exceptional service by greeting and assisting all visitors and answering inbound calls. Continuously offers the highest level of service to all corporate employees and visitors. Maintain a professional image of the company by providing prompt, courteous and efficient service. As an effort to be a cross-trained team player, the receptionist may be called upon to assist in other service areas such as, but not limited to mail/shipping operations, hospitality and general office/facilities work based on operational needs to provide a top tier customer experience. This person will work onsite 5 days per week.
What you’ll do:
- Warmly welcome clients, guests, and employees as they enter the office
- Make sure all visitors are entered into building security system
- Direct them to the appropriate person or department
- Manage incoming phone calls in a professional manner
- Light facilities/hospitality work: perform hospitality work as needed such as but not limited to assisting employees and visitors, help order supplies, stock kitchens/service areas with supplies. May be asked to help set up/ take down conference rooms for meetings/events
- Create and update PowerPoint slides, company announcements, spreadsheets, calendar, conferencing set-ups (Zoom, Teams, etc.)
- Responsible for order placement of all food and beverages, including on-sites/offsites; Order from vendor/s 4x weekly; Weekly catering onsite lunch event for NY office; birthday events (once monthly), etc.
- Receive, scan/send, distribute, and/ or put away all incoming mail packages and deliveries
- Restocking of beverages and straightening up conference/lunchrooms at end of day
- Corporate credit card reconciliation twice monthly
- Create labels/documents for shipping packages and postal services (Certified Mail, etc.)
- Ability to lift/move packages up to 40lbs for delivery and storage (cart onsite for assistance)
- Handle sensitive information with discretion, following privacy and confidentiality guidelines
What we’re looking for:
- 5 years of receptionist, office administration or related experience
- Strong proficiency in MS Office
- Meticulous attention to detail
- Excellent communication skills
- Expert in customer service skills, professional attitude and appearance
- Good organizational skills
- Ability to maintain confidentiality
- Positive individual who conveys curiosity with an aptitude and eagerness to problem solve where necessary
- Flexibility and the ability to manage multiple projects, tasks and priorities is key
- Self-starter who takes action with a sense of urgency

In accordance with New York City Law, below is the annual base salary range for this position. Actual annual base salary is based on, but not limited to: experience, education, professional licenses, location and business needs. The position is eligible for health insurance, disability insurance, life insurance, 401k plan, paid-time off, and sick (and where applicable safe) leave. This position is also eligible for a discretionary year-end bonus.
The annual base salary range for this position is: $45,000-$65,000
