Wayfair’s Financial Operations team is seeking an Outsource Labor (OSL)  Business Support Analyst  based in our Financial Shared Services team in Boston/Galway.  We are looking for the right individual to support the management of our internal teams who wish to outsource certain tasks to our offshore providers.  The ideal candidate will bring strong organizational skills, highly motivated, detail oriented, collaborative, self-motivated, customer oriented mindset,  and problem-solving abilities to the role.

Wayfair’s EU Financial Operations team supports and manages the day-to-day activities for many teams across the organization. In particular this role will manage the below responsibilities while collaborating with teams across the business particularly those in Finance, Merchandising, Talent & IT This is a unique opportunity for someone with excellent organizational skills to take their career to the next level.

 

Key Responsibilities include but are not limited to:

  • External management of the offshore service providers
    • Providing data and analytics to your manager when attending meetings with the external service providers. 
    • Monitoring of established  quality measures which  are in place with the providers ensuring SLA’s are met. 
    • Developing good quality training processes, documentation and videos (where appropriate) as well as  agreeing sign off processes  when handing work off to the  offshore teams.
    • Report timely to internal leadership on performance metrics and spend analysis. 
    • Oversight of day to day operations
    • Regular touch bases in place with offshore team members performing duties for your area of responsibility.
  • Internal collaboration with teams working in the offshore space. 
  • Identify processes offshored and ensure processes are working as expected and SLA’s being communicated back to the business. 
  • Ensure any processes are running smoothly prior to transition, working with internal teams to ensure smooth transition. 
  • Working with teams to develop appropriate training materials. 
  • Identify the appropriate metrics to ensure oversight to the performance of the offshore team. 
  • Working with teams to update  forecasting requirements and ensure accurate and timely  Purchase Order creation. 
  • Hold regular meetings and collaborate with teams to understand any frustrations experienced with the offshore team or any other feedback. 
  • Provide feedback from the offshore team to the business. 
  • Support teams with invoice approval and dispute process, coordinating this with both internal teams and offshore teams..
  • Working with your team to ensure internal processes are documented and appropriate training to cover periods of leave . 
  • Ensure Info hub page is developed and regularly updated. 
  • Ad hoc responsibilities: 
    • Involvement in any relevant projects 
    • Market expansion involvement as required
  • Comprehends and consistency applies to company policies and procedures. Understand internal accounting processes, practices, SOX and internal controls necessary to safeguard company assets and minimize exposure.

Skills & Experience:

  • Bachelor’s Degree/Relevant BPO qualifications or experience in a BPO/OSL environment
  • At least 2+  years of  working in an OSL environment
  • High proficiency in Excel is required
  • Previous experience in dealing with OSL in a retail environment advantageous 
  • Strong organization and planning skills
  • Problem identification and resolutions skills
  • Meticulous attention to detail and strong planning and forward-thinking capabilities
  • Demonstrated ability to anticipate needs and situations before they are fully developed.
  • Excellent written, verbal, and presentation skills
  • Flexible and able to handle ad hoc issues that may arise.
  • Extremely high level of discretion pertaining to confidential information
