Location: The role is based in our Boston hub, where we work in a hybrid model.
About the Position
As a Senior Executive Assistant, you will provide high-level administrative, organizational, and operational support to our CEO and other C-level executives. This role is critical to enabling the executive team to operate efficiently and effectively in a fast-paced, global environment. You will act as a trusted partner, anticipating needs, managing priorities, and ensuring seamless day-to-day operations.
Key Responsibilities as Senior Executive Assistant at Showpad
- Provide comprehensive administrative support to the CEO and select C-level executives
- Manage complex and dynamic calendars, integrating professional and personal appointments and events
- Proactively schedule internal and external meetings across multiple time zones
- Coordinate and book travel arrangements, including flights, hotels, ground transportation, and restaurants
- Manage incoming emails and communications, taking appropriate action based on priority, relevance, and urgency
- Attend select leadership and team meetings, capture notes, and distribute meeting summaries and action items to ensure follow-through
- Organize personal and shared folders; maintain budget documentation and executive and management meeting materials
- Track and follow up on key professional deadlines and personal commitments; proactively remind executives as needed
- Track, drive, and follow up on completion of key deliverables and strategic projects; ensure presentations and materials are polished, accurate, and executive-ready
- Anticipate executive needs and collaborate closely with other Executive Assistants across the organization to align on best practices
- Support operational, office, and cross-functional projects on an as-needed basis
Skills We Are Looking For
- Minimum of 8 years of experience supporting senior-level or C-level executives in a fast-paced, global environment
- Ability to thrive in a high-energy, constantly evolving environment
- Strong work ethic with a proactive, service-oriented mindset
- Highly resourceful, adaptable, and collaborative team player
- Exceptional attention to detail with strong organizational and time-management skills
- High level of integrity and discretion when handling confidential and sensitive information
- Ability to learn quickly and adapt to changing priorities
- Professional, clear, and concise communication skills (written and verbal)
- Strong interpersonal skills and the ability to build trust with executives and stakeholders
- Flexibility to work outside standard business hours when needed
- Proficiency with modern communication, productivity, and collaboration tools in a fast-paced digital environment
