As a member of Okta’s Strategic Sourcing & Procurement (SS&P) organization you will establish and lead the Software Asset Management (SAM) program within SS&P organization. You will closely partner with various functional groups including IT, Internal Audit, Strategic Sourcing and other stakeholders to draft the strategy and establish the SAM program with objectives including managing end-to-end software lifecycle and reducing the Risk and Spend. The Software Asset Manager will be responsible for the daily and long-term strategic management of software spending including planning, monitoring, and recording of software licenses to ensure compliance with supplier contracts. The individual will closely partner with the software Sourcing team to assist in forming software category strategies to optimize technology spending across the organization. This position will report to the Head of Strategic Sourcing & Procurement.

Responsibilities:

  • Lead the development of business requirements, design, and business processes for the Software Asset Management module in solutions such as ServiceNow. Partner with IT organization for implementation ensuring targets for SS&P are met to enable internal business processes
  • Document end-to-end software lifecycle and align it with the Sourcing & Procurement processes and policies. Highlight the need for improvements and process gaps, work with SS&P leadership, peers and stakeholders to gain approvals and implement changes
  • Partner with Strategic Sourcing, IT, Security and other stakeholders to develop a preferred list of SaaS suppliers
  • Develop processes for managing software licenses to optimize cost and maintain licensing compliance
  • Ensure adherence to software licensing agreements, monitor license usage, and take necessary measures to address any non-compliance issues
  • Maintain an accurate and up-to-date inventory of software licenses, versions, and deployments throughout the organization
  • Analyze software usage patterns, identify opportunities for optimization, and collaborate with Sourcing peers and stakeholders to implement strategies to optimize license allocation and reduce costs
  • Prepare software asset-related reports and documentation, such as license entitlements, deployments, usage, and compliance status
  • Identify and mitigate software asset management risks, such as security vulnerabilities, unauthorized software usage, and potential legal implications
  • Work closely with other departments to ensure successful deployment of processes; providing communication when gaps are identified
  • Continuously evaluate and improve Software Asset Management processes, policies, and procedures to enhance efficiency and effectiveness
  • Develop processes to harvest and redeploy software licenses in partnership with IT
  • Create and deliver needed reports to management
  • Perform software license audits and initiate corrective actions where needed
  • Lead activities related to software audits initiated by Internal Audit

Preferred Qualifications:

  • 5-10 years of experience in software asset management with detailed understanding of software lifecycle and best practices in a global environment with stringent security compliance and risk policies
  • Previous experience with IT sourcing & procurement highly desired
  • Deep understanding of sourcing & procurement processes and methodologies within a global organization
  • Knowledge of Procure-to-Pay processes including experience working with P2P systems such as COUPA
  • Experience with platforms like ServiceNow SAM module (preferred), Demonstrate ability to manage the software asset management lifecycle and have proven experience in creating value in this area
  • Previous experience working in consulting in similar capacity desired
  • System design and implementation experience
  • Proven ability and experience in executing software asset management processes successfully
  • Strong knowledge of licensing agreements involving software and could
  • Strong ability to conduct assigned tasks independently with little supervision
  • Bachelor’s degree in IT, Business, Finance, and/or commensurate professional experience
  • ITIL Certification Preferred

Below is the annual base salary range for candidates located in California, Colorado, New York and Washington. Your actual base salary will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable), bonus, and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies. The annual base salary range for this position for candidates located in California (excluding San Francisco Bay Area), Colorado, New York, and Washington is between:$112,000—$168,000 USD The annual base salary range for this position for candidates located in the San Francisco Bay area is between: $126,000—$188,000 USD
