About Business Operations Enablement & Communications Team

The Business Operations Enablement & Communications team creates programs that drive enablement and adoption for internal technology and process changes to our employees and contractors across Okta. In addition, the team leads departmental communications programs and events. This team is part of the broader Business Operations Strategy and Operations team. 

About the Role

The Communications Lead will support the Business Operations department’s internal communications work, as well as the company’s enterprise IT, Security, and Business programs/projects.

The Communications Lead requires a broad understanding of strategic communications and a story-telling mindset for internal department and enterprise-wide communications. In addition, the role requires proven ability to understand various technology and business processes, and the interest to communicate these concepts in clear and accessible language to a variety of audiences for company-level strategic programs/projects. The role also requires advanced skills in prioritizing and juggling multiple commitments, outstanding collaborations, and a keenness to create impactful communications deliverables. You will partner closely with the Business Operations (BizOps) and Business Technology (BT) Leadership teams, Delivery Teams, Business Stakeholders, and other communication and enablement teams across Okta.

This is an individual contributor role that will report into the Director of Enablement and Communications. This is a leadership position requiring demonstrated ability to deliver results in a high-growth environment.

Responsibilities

Your responsibilities will be allocated between Project/Programs communications and Business Operations department communications work.

  • Lead communication efforts of varying complexity for company-level strategic Information Technology, Security, and Business initiatives.
  • Manage and guide communications work-streams, and support the creation of content and messaging across initiatives. 
  • Develop and implement communications strategy and plan for various communications projects
  • Manage and update content platforms (email, Slack, intranet, newsletters) on an ongoing basis.
  • Collaborate with project team stakeholders and business stakeholders to ensure the successful execution of communication strategies 
  • Define success KPIs and measurement to ensure operational success is achieved
  • Responsible for creating, managing, and communicating content; messaging; and strengthening the communications skills and capacity of other team members.
  • Proactively identifying ongoing enhancements to the Enablement and Communications practice 
  • Partner with the Director of Enablement and Communication to ensure leading communications practices are shared across Okta
    • For Department Communications
      • Manage the assessment of Business Operations storytelling and communications needs for department and enterprise-wide communications to highlight the department’s collaborations, value delivered, learnings, people and culture, etc. across Okta and to various audiences.
      • Lead the development of internal ongoing department communications, including department newsletters and all hands meetings
    • For Projects/Programs
      • Responsible for developing strategies based on scope, audience and change impacts, and for building and delivering communications to ensure awareness, adoption and operational success is achieved.
      • Implement and leverage tools such as stakeholder and change impact assessments, and FAQ documents to create simple and effective communications using various channels 
      • Facilitate meetings, Q&A sessions with employees, interviews and workshops to gather inputs for artifacts and address questions 

Knowledge, Skills, and Abilities

  • 8+ years of experience leading communications and/or training for large-scale and complex Technology and Process programs 
  • 6+ years of experience leading internal communications programs (e.g. department newsletters, all hands meetings, employee engagement)  
  • 4+ years of experience as a management consultant or related experience in a high-tech, high-growth Organization  
  • Strong interpersonal skills and ability to build collaborative relationships
  • Expert verbal and written communication skills with an ability to deliver messages through simplicity, storytelling, and with impact
  • Demonstrated ability in developing and delivering communications to all levels in an Organization, including C-level Executives and external audiences through various channels
  • Ability to work in a fast paced environment and act as a trusted team member when handling sensitive and confidential company information.
  • Strong collaborator with solid writing, editing, and proofreading skills, and experience in managing a variety of communications platforms using multiple formats such as podcasts, blogs, and video.
  • Knowledge in working with collaboration tools (Confluence, Google Workspace, Smartsheet, Asana, Slack, Zoom)
  • Experience with design and video editing tools (Adobe, Canva)
  • Process improvement mindset: iterate and improve administrative best practices.
  • Experience in contributing to playbooks and /or toolkits for Communications
  • Ability to work U.S. hours, as required, to support stakeholders in the U.S. (primarily in California)

Bonus Experience You Could Bring:

  • Experience with multiple communication and engagement channels including social media, intranet, etc.
  • Graphic design and video editing experience.
  • Events management experience.

Education and Training:

  • Bachelor's degree required, preferably in Communications, Change Management, or Business Management
  • Graduate coursework a plus
