You will pay attention to detail regarding our AKQA brand and core values, and ensure that your approach is always consistent and in line with London business strategy and operations.

 

ROLE REQUIREMENTS

Reception-related:

  • Be the go to person for the day to day support of teams across the AKQA Campus
  • Switchboard: ensure all calls are answered within five rings. Maintain the utmost level of confidentiality while remaining professional and helpful. Develop knowledge of both AKQA global and client leadership, enabling calls to be directed appropriately
  • Meet and greet: professional guest greeting and recognising regular guests; greeting new employees
  • Meeting rooms: assist with room requests or conflicts
  • Security passes: issue and cancel all security passes
  • Work to provide a world class service for all teams in the AKQA Campus
  • Keep accurate, up-to-date records of all employees’ telephone numbers (mobile and landline); keep updated list of all other AKQA studios’ receptionists, main contact numbers and addresses
  • Ensure Reception is always tidy and understand the importance of first impressions. Passionate about our high standards and with meticulous attention to detail
  • Provide admin support across agency: print address labels, organise the purchase and delivery of gifts, assist with binding/laminating, book taxis and couriers
  • Book couriers and sign for incoming packages

Studio Assistant-related:

  • Assist with on-boarding and off-boarding teams across the AKQA Campus
  • Handle basic maintenance tasks safely, practically and with strong attention to detail. Organise and oversee any on-site maintenance and minor repairs. Manage contractors on site and ensure they comply with all H&S legislation. Report any building issues to our Studio Manager
  • Monitor the outward appearance of our studio to ensure that our environment is always tidy and fit for purpose
  • Carry out tasks on our daily checklist at appointed times throughout the day, ensuring that they are performed to a consistently high standard and on time. These tasks include: ensuring adequate lighting, comfortable temperature and a safe working environment; studio  equipment checks and maintenance
  • To be fully aware of the daily meeting room schedule always and able to plan, prioritise and complete the set-up and clear-down of all meeting rooms on time, to a high standard and with attention to detail as part of our Studio Services team
  • Respond to LON Studio Services requests with quick, efficient response and close-out rates
  • Proactively tidy and organise our post room, stock rooms, stationery and communal areas
  • Stock replenishment: stock vending machines, water coolers, stationery areas
  • Assist with ordering catering for meetings, events, stationery areas and kitchen, including vending supplies, H&S products and miscellaneous studio items. Manage and build our relationships with our preferred suppliers
  • Assist with the organisation and set-up of all internal events and internal moves. Contribute to event ideas and always strive to improve

  • At least 2 years’ experience working in either a service, hospitality or luxury role for a similar dynamic and fast-paced environment

  • Extremely entrepreneurial self-starter
  • Dynamic personality with a strong bias to action
  • Demonstrated ability to set and implement priorities, manage multiple tasks, and work to tight deadlines and high service levels
  • Strong interpersonal skills, including good communication skills
  • Strong problem-solver with high attention to detail
  • Proficient in Microsoft Office, including Outlook with good numerical skills
