The PITCH.

You’re a detail oriented, multitasker who handles even the most stressful situations with a smile. The busier things are, the better. Fifteen people are waiting for something and you have it all prioritized instantly without batting an eyelash. You’re helpful to the point that it’s almost super-human. Someone urgently needs a meeting room? On it. Last minute asset tracker? No sweat. Need to get a dongle for a last-minute client meeting? You’re already on your way. That’s what it means to work on the Operations team at VaynerMedia.

Here’s where you come in…

  • Plans, coordinates and ensures various executives schedules are followed and respected
  • Prioritises conflicting needs; handles such matters expeditiously and proactively
  • Assumes a "gatekeeper" role for each executive’s schedule, creating win-win situations for direct access to them where needed.
  • Completes miscellaneous administrative tasks as needed to help scale executives day-to-day (expense reports, etc)
  • Works collaboratively with other EAs and Team Coordinators across the business as required
  • Builds relationships across departments as well as with external clients and vendors which are crucial to the success of the business 
  • Manages special projects across departments as required
  • Coordinates travel requests and catering orders when needed
  • Manages visitors / greeting guests in the office.

 

We treasure Personality and Experience yet we do know that these qualifications lead to what WE KNOW as a success:

  • Prior EA experience in fast-paced, dynamic environment supporting senior leadership
  • Great organisational skills and attention to detail
  • Proficient in Microsoft Office, Word, and Excel
  • Proficient with G-Suite tools (ie Google Calendar, Gmail, etc.)
  • Displays innovative thinking
  • Works collaboratively and builds relationships
  • Has a sense of urgency and conveys a positive, “can-do” attitude
  • Expert level written and verbal communication skills.
  • Proven ability to handle confidential information with discretion.
