HashiCorp India Finance Center of Excellence:

HashiCorp has its Finance Centre of Excellence in Noida, Uttar Pradesh, India to help HashiCorp’s USA Headquarters and 15+ other countries where we have our subsidiary entities. From our India Center of Excellence, we are independently handling / supporting multiple processes that include Record to Report, Order to Cash, Procure to Pay, Revenue Accounting, Internal Controls, SOX, Payroll, Taxation, Travel Administration, Treasury, Equity Administration, Reporting, etc.

About the Role

HashiCorp’s Finance team is looking for an experienced and proactive stock plan administrator to assist in the development and scaling of a world-class equity program. The role is responsible for accurate day-to-day administration of our Equity Incentive and ESPP plans, providing excellent customer service to a large multinational participant population, and supporting internal and external business partners. The role interfaces with internal teams including Total Rewards, People, Technical Accounting, Payroll, and Legal as well as external teams such as our brokers, stock plan provider, and transfer agent. This position will report to the Director of stock Administration at HashiCorp.

In this role, you can expect to:
  • Administer global equity plans including processing new grants, option exercises, RSU releases, ESPP enrollments & purchases, and trading pre-clearance 
  • Partner with multinational Payroll and Accounting teams to ensure successful processing of equity transactions
  • Partner with our stock plan provider and transfer agent to ensure seamless settlement of transactions
  • Be a responsive, approachable resource for participant inquiries
  • Assist in the development and presentation of equity education initiatives on our internal Equity Wiki
  • Support development and improvement of internal controls and equity processes
  • Maintain data integrity in equity systems and equity control books through data reconciliations and consistent application of procedures
  • Support SOX compliance and prepare SOX controls
  • Ensure compliance with US and foreign securities regulations and tax requirements
  • Reconcile and analyze monthly equity activity, including shares outstanding, share reserves, and ESPP enrollments
  • Generate reports as needed for audit, tax, and legal/regulatory filing purposes globally
You may be a good fit if you have:
  • Bachelor’s / Professional Degree in Accounting, Finance / Company Secretary / CA
  • 5+ years of relevant equity administration experience at a global publicly traded company
  • 7+ years experience in Accounting, Finance, HR, or related field
  • Certified Equity Professional Level III certification preferred
  • Sensitivity to employee privacy laws such as GDPR and the ability to maintain strict confidentiality
  • Data reconciliation Excel skills
  • Acute attention to detail
  • Strong organizational, prioritization, and problem-solving skills
  • Experience administering equity through Schwab EquiView or similar systems
  • Ability to thrive in a fast-paced, rapid-growth environment
  • Excellent verbal and written communication. 
  • Should have worked with Global teams, especially the US.
  • Ability to work independently as well as collaboratively
  • Experience working with large data sets and complex reconciliations
  • Broad experience with different equity award types across multiple international jurisdictions (e.g., RSU, stock options, and ESPP)
  • Candidates having experience in any of the stock administration tools like e-trade, Fidelity, Shareworks, Schwab, etc. will be preferred
